ShipQuote (“we”, “us”, or “our”) provides a HubSpot application that retrieves shipping rates from carrier systems and writes them to your HubSpot quotes. This Privacy Policy explains how we collect, use, store, and share information when you use our website, application, and related services (collectively, the “Service”). By using the Service, you agree to this policy. If you do not agree, please do not use the Service.
1. Information We Collect
HubSpot portal data
When you connect ShipQuote to HubSpot, we access and process data required to calculate and display shipping rates, including quote records, line items, product catalog fields (such as weight and dimensions), contacts, companies, and deals as permitted by the OAuth scopes you approve. We process this data only to provide the Service you request.
Carrier account information
To obtain live rates from FedEx and UPS, you provide carrier identifiers and API credentials (such as account numbers, client IDs, and secrets where applicable). We store this information securely so we can authenticate to carrier APIs on your behalf.
Usage data
We collect operational data such as API request metadata, error logs, timestamps, and aggregated usage metrics (for example, rate request counts per billing period). This helps us operate, secure, and bill the Service.
Account and billing data
If you subscribe to a paid plan, our payment processor receives and processes billing details you provide (such as name, email, and payment method). We receive limited billing status from the processor to manage your subscription.
2. How We Use Your Information
We use the information we collect to:
- Provide the Service, including reading HubSpot records, calling carrier rate APIs, and writing rates to quote line items.
- Authenticate you to HubSpot and carriers, maintain sessions, and troubleshoot technical issues.
- Process payments, send invoices or receipts, and manage subscription tiers and usage limits.
- Provide customer support when you contact us.
- Improve reliability and security, detect abuse, and comply with legal obligations.
We do not sell your personal information to third parties.
3. Data Sharing
We share data only as needed to operate the Service:
- Carrier APIs (FedEx, UPS). We transmit shipment and rating inputs to FedEx and UPS so they can return pricing. Their use of data is governed by their respective terms and privacy policies.
- Payment processing (Stripe). Subscription payments are processed by Stripe. We do not store full payment card numbers on our servers.
- Data store (Airtable). Certain configuration and operational records may be stored in Airtable as part of our infrastructure. Access is restricted and used only for Service operation.
- Legal and safety. We may disclose information if required by law, subpoena, or to protect the rights, safety, or integrity of our users, the Service, or the public.
4. Data Security
We use industry-standard safeguards including encryption in transit (HTTPS/TLS) for connections between your browser, our systems, HubSpot, and carriers. Sensitive values such as OAuth tokens and carrier API credentials are protected using appropriate technical and organizational measures. No method of transmission or storage is completely secure; we work to reduce risk and respond to incidents in line with applicable law.
5. Data Retention
We retain information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Carrier credentials and tokens may be deleted or invalidated when you disconnect an integration or close your account, subject to backup and legal retention requirements.
6. Your Rights
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to object to or restrict certain processing. To exercise these rights, contact us at hi@shipquote.io. We will respond in accordance with applicable law. You may also disconnect ShipQuote from HubSpot at any time through HubSpot’s integration settings.
7. Third-Party Services
The Service depends on integrations you authorize. Key third parties include HubSpot (CRM and OAuth), FedEx and UPS (rating and carrier services), and Stripe (payments). Each provider maintains its own privacy policy and terms. We encourage you to review their documentation when you connect those services.
8. Cookies
Our website and application use cookies and similar technologies in a minimal way, primarily to maintain session state and security where necessary. We do not use cookies for cross-site advertising. You can control cookies through your browser settings; disabling certain cookies may limit functionality.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the effective date. If changes are material, we will provide notice as appropriate (for example, by email or in-app notice). Continued use of the Service after changes become effective constitutes acceptance of the updated policy.
